Booking of rooms, equipment and expertise

This is what you need to know about ELN booking:
- New user?
- Internal users with a @vub.be mail address, do the following:
- on the 1st screen, log in as VUB user
- on the 2nd screen, select your new team"Humanise" (Do NOT select another team)!
- after that, you will have to define your password and complete other verification procedures.
- External users (without @vub.be mail address) please email us at Humanise@vub.be.
- Booking of equipment or rooms
- Go to the "Scheduler" menu item at the top banner or black button at the far right. Select a "resource" and your date/time.
- In scheduler, if you cannot see the weekend days, click the gears on the far right (settings), and turn on the "show weekend" option.
- Cancellations are possible 1 hour before the scheduled time, except for larger experimental rooms (polyvalent and EEG room - 10 hours in advance).
- If you enjoy a reduction of the standard fee, please add this request with a short motivation in the comment box on top of your booking (e.g.” 20% of the standard academic fee as co-investigator”; “0 € fee because of financial hardship.”). This will be taken into account for your invoices.
- Ordering accessories
- Accessories are often included in the booking of equipment, but some wearable accessories are not (e.g., electrodes). You can order them from the vendor or from us (also via "scheduler" at no extra cost)
- Specify your experiment
- For your transparency, a clean organization and experimental history, we recommend you to also define your experiments, and to link them to your bookings. This requires just a few extra clicks and entries.
Users
The core facility has several categories of users who pay distinct fees:
- Academic: Academic user at the VUB or other universities and public academic research institutions. An academic user consists of 1 principal investigator (PI) and their academic team (i.e., the PhDs and post-docs they supervise).
- Co-investigator: An academic user who donated equipment to be housed in the core facility and is made available for all other users; in return a co-investigator receives for this donated equipment a reduced fee and special rights (including guarantee of use); but remains regular academic user for other equipment. A co-investigator consists of 1 principal investigator (PI) and their academic team (i.e., the PhDs and post-docs they supervise; up to a maximum normally of 5 persons).
- Non-academic user affiliated with a profit or a non-profit organization.
Regulations and Fees
NEW: Fee Waiver - Users who do not have sufficient financial resources to pay the requested fees may request a fee waiver for a limited number of years, provided they add this fee to their budget proposal(s) in their next grant proposal(s). Get in touch with us for your request.
